We are looking for a brilliant Projects Assistant, either freelance or salaried, to support our team across some interesting and varied projects this summer and autumn.

Contract:            Temporary. 4 months, ideally 1 July – 31 October 2024

Pay:                     £11.44 per hour or freelance equivalent

Location:            Bristol – office based

Hours:                 32 hours per week (across 4 or 5 days, Mon-Fri)

THE ROLE

An office-based role within a small, hardworking team, this is a role for an extremely organised, practical, and proactive multi-tasker. It requires an abundance of confidence, resourcefulness, a head for numbers, and a keen eye for detail. The ability to prioritise efficiently and communicate effectively is key.

You will be working across a wide range of exciting projects of varying scales, including the planning of our public performances at festivals, private shows for high end parties, and large-scale corporate events. No two days will be the same. We are looking for an all-rounder who can show commitment and enthusiasm to a wide range of tasks and responsibilities.

We offer a developmental environment for team members but because this is a fixed term contract, there is no specific training offered apart from induction into the role and the projects. Candidates should be able to hit the ground running.

There will be some particularly busy times during the contract and therefore the Projects Assistant will not be able to take any holidays during working days in August or October.

MAIN RESPONSIBILITIES

  • Supporting the team with administration, research and planning.
  • Obtaining quotes – booking, tracking, updating, and reporting back to the team as required.
  • Managing and negotiating artists availability, travel, accommodation and access requirements with sensitivity and clarity, taking responsibility for ongoing communications and actions.
  • Gathering technical information from artists, liaising between artists, subcontractors, clients, and the wider team.
  • Accurately drawing up and sending out artist/crew contracts. Ensuring any required information is returned and filed appropriately in a timely manner.
  • Creating detailed information and briefing documents for show teams.

PERSON SPECIFICATION

Essential

  • Excellent communication skills across a range of people and in different media.
  • Self-motivated and dynamic – a proactive, positive and confident team member.
  • Highly organised with excellent attention to detail and an aptitude for logistics and technical details.
  • Ability to work independently under pressure, managing competing priorities in a structured way.
  • Effective decision maker and resourceful problem solver.
  • Excellent with IT systems including Mac programmes, cloud-based software, and a whiz with spreadsheets.

Additionally useful

  • An understanding of circus, live event production or theatre.
  • Experience managing large numbers of travel arrangements or hotel bookings.
  • Technical knowledge – especially within circus and live events.
  • Experience of planning accessibility provision in live events.
  • A creative eye – we may need a hand with putting together proposals, cataloguing photos, or our social media at busy times.
